This Data Retention Policy explains how Quality Work (“the App”) stores, manages, and deletes information collected from users and organizations. Our goal is to retain data only for as long as necessary to support operational, legal, and compliance requirements.
1. Types of Data We Retain
The App retains the following categories of data:
- Account information (name, email, phone number)
- Task submissions, updates, and status history
- Before‑, during‑, and after‑photos documenting work
- Comments, notes, and communication related to tasks
- Device logs and diagnostic information
2. Retention Periods
2.1 Account Information
Account information is retained for the duration of the user’s active account and for up to twelve (12) months after account deletion, unless otherwise required by the user’s organization.
2.2 Task Data & Photos
Task‑related data, including photos and notes, is retained for as long as required by the organization using the App. Organizations may retain this data for operational, audit, compliance, or legal purposes.
2.3 Device Logs & Diagnostic Data
Device logs, crash reports, and diagnostic data are retained for up to ninety (90) days to support troubleshooting and performance improvements.
3. Offline Data
When the App is used offline, temporary data—including photos and task updates—may be stored locally on the user’s device. This data is retained until:
- It successfully syncs to the server, or
- The user uninstalls the App
Offline data is not accessible to Quality Work until it is synced.
4. Data Deletion
Users or organizations may request deletion of data at any time. Upon receiving a valid request, we will:
- Delete or anonymize the requested data
- Confirm deletion with the requesting party
- Retain only data required by law or compliance obligations
Some data may remain in backups for up to thirty (30) days before being fully purged.
5. Organizational Control
Organizations using the App may define their own internal retention schedules. In such cases, the organization’s policies take precedence over this general policy.
Quality Work acts as a data processor and follows the instructions of the organization (the data controller) regarding retention and deletion.
6. Legal & Compliance Requirements
We may retain certain information for longer periods when required to:
- Comply with applicable laws and regulations
- Respond to legal requests or investigations
- Maintain audit trails for organizational compliance
